iTrent – HR and Payroll System
iTrent – Cumbria Education Trust’s new HR and Payroll system – is your one-stop shop for all your HR tasks, saving time and making it easier to get things done. Here, you will be able to view and print your payslips, manage personal details, book annual leave and record absences.
In early 2025, you will also be able to submit expenses, allowances and overtime.

iTrent Employee Self Service (ESS) is available to all staff and enables them to perform certain actions, depending on their employment status. This includes:
- Viewing and updating some personal details
- Recording absence (annual leave, sickness and other absence)
- Viewing and downloading payslips
- Signing/acknowledging employment documents
- Submitting timesheets/expenses (coming soon).

What is iTrent?
iTrent is an HR and payroll system, which operates on one database, offering one streamlined, live point of access for HR, manages and employees.
It is a simple web-based application that can be accessed from any computer, smart phone or tablet.
What is Employee Self Service (ESS)?
This is the part of the system that is exclusively for you. It provides you with access your ‘smart’ payslip; view and update your personal details, qualifications, view and amend your bank details, request annual leave, view your annual leave entitlement and obtain a summary of any other absences you may have had.
In the future, you will also be able to self-report sickness absence and submit pay and expenses claims.
How can I access the self-service portal?
To access iTrent, there are two options:

You can access the system from any device, in any location that has internet access.
The system has been configured to utilise CETs Single Sign-On/Multi Factor Authentication software, making the sign-in process super simple, whilst ensuring complete security.

Why are we moving to a new system?
In July 2024, our service contract with ‘Access for People’, our HR platform, ended. This gave us the opportunity to explore alternative options. Following an in-depth procurement process, iTrent was chosen as our preferred HR platform, due to its excellent Employee Self Service offering (ESS).
How do I access my payslip?
CET has invested in ‘smart’ payslips, allowing you to drill down into the finer detail of how your pay is calculated each month. This technology allows you to look into items such as additional hours, tax code, personal allowance, pension rates, associated calculations and more. You can also save, download and print your payslip.
All of this is can be accessed through ESS.

When will my payslip be available?
CET will ensure that payslip are available through ESS on pay day each month. Your payslips will remain stored within ESS for the duration of your employment.
Should you leave CET for any reason, access to ESS will continue for 90 days from your last day.
Will my P60s be available in ESS?
P60s will be issued through ESS in 2025. P60s issued to you prior to this date will not be made available through ESS and it is therefore important that you retain the copies extracted from ‘Access’ prior to its’ removal.

What do you do if any of my details are wrong?
You can amend most of your details by going into the relevant screen in the self-service portal.
How do I change my bank details?
Changes to bank details can be make via ESS. However, it is important to note that bank details do require further authorisation before they are live in the system.
Authorisation is determined by the date on which your request is made.
Changes can only be made before the 5th of the month within which you wish to make the change.
With that in mind we strongly advise you DO NOT close your other account until your first salary payment has been made to your new account.
What if there is an error in my details but the system will not let me make the change?
In these instances, you should contact the HR Team at askhr@cumbriaeducationtrust.org.
Who can see my information?
The system is completely secure so only senior managers and those directly involved in generating your pay or processing your HR information have access to personal and sensitive information held about you.
I am not very confident using the computer or my phone. How will I manage this new system?
iTrent was chosen for its ease of use. User guides for each element of ESS are available and the HR Team are always on hand at askhr@cumbriaeducationtrust.org.
We aim to respond to all employee queries within 3 working days.
I have a question which I can’t find the answer to, who should I contact?
Queries relating to the your employment, hours, salary or similar topics should be referred to your line manager in the first instance.
Queries relating to signing in and/or navigating iTrent should be sent to askhr@cumbriaeducationtrust.org.
We aim to respond to all employee queries within 3 working days.
How do I book holiday/leave?
Employees working on a full year basis will be required to book their leave through ESS. You can find a helpful guide here.
How do I cancel leave I no longer wish to take?
Leave cancellation can also be made through ESS, guidance can be found here.
How do I electronically sign my contractual documents?
The HR team will be rolling out the use of e-sign software in iTrent Employee Self Service (ESS) to deliver electronic employment letters and documents to staff including, letters relating to contract extensions, changes to contract terms/hours/pay/allowances, and more.
The following steps outline the process that is followed when an electronic letter is sent to you by the HR team:
- When a letter is issued, you will receive an email with notification that a document has been sent to you and is available to view in iTrent Employee Self Service (ESS) – we recommend that you navigate to ESS and sign in, rather than click on any links in an email (to avoid clicking spam by accident)
- Your manager will also be notified that a document has been sent to you
- When you log into ESS, the document should automatically open
- You will be asked to either electronically sign or acknowledge the document, as appropriate. The software creates the signature for you. If you have any questions about the document, you should speak to your line manager in the first instance
- Once your document is signed or acknowledged, it will be stored in ESS and will remain accessible to you for the duration of your employment and available to download. You can access the letter in ESS by selecting ‘View Profile’ and then the ‘Employment’ tab – your document will be in the section marked ‘My Correspondence’. The document will show the date and time that you signed it.
I am a manager, what does this mean for me?
Managers will be assigned a ‘People Manager’ account, which you will use to authorise employee requests.
Approval and authorisation are simple processes which will reduce the amount of paperwork, duplication and risks associated with manual processes.
However, it is important to note that ALL staff, regardless of role, will be issued with an ESS account which is exclusively for their use.
Is there anything that I need to do?
It is really important that you read all of the information we send to you via email or hard copy so that you do not miss any important information.
We recognise that not all staff access their emails on a daily basis, so we will be posting communications on our staff notice boards throughout the Trust.

iTrent People Manager
iTrent People Manager is available to all designated line managers, enabling managers to view the records of staff reporting to them (whether directly or indirectly). This allows managers to perform key duties, including:
- Viewing reportee’s details
- Actioning absence requests (annual leave, sickness and other absence)
- Actioning timesheets (coming soon).
